Document management

Upload, create and co-edit your documents, organised in folders and subfolders.

2 min read updated October 2026

Each project has its own storage space: a single place to gather contracts, deliverables, meeting reports or any other project document, organised in folders and subfolders, with the option to create and co-edit some documents directly in Gladys.

Where to find your documents

Document management is available in two places in a project:

  • The Documents tab in the project's navigation, alongside Kanban, Discussion, List, Gantt, Dashboard or Budget — the full view, with the folder tree.
  • A Documents widget on the project dashboard, for quick access to the most recent files without switching tab.

Organising your documents in folders

You can create folders and subfolders to structure your documents as you wish (for example: Administration → Contract, or Deliverables). Each folder shows how many subfolders and files it contains, and can be expanded or collapsed in one click.

Adding a document

Three ways to add a document to your project space:

Upload a file

Drag and drop a file from your computer, or click + Upload / + Add a file to select it.

Create directly in Gladys

Create a new Word (.docx), Excel (.xlsx) or PowerPoint (.pptx) document without leaving the tool — it opens immediately in the built-in editor.

Connect Google Drive

Link your Google Drive account to import files already stored there, without downloading and re-uploading them.

Co-editing a document

Word, Excel and PowerPoint documents created in Gladys open in a built-in editor and can be co-edited: several project members can work on the same file at the same time, with automatic saving — no more emailing an attachment for each new version.

Good to know: the editor shows the document name at the top, with Open, Rename and Delete shortcuts available without leaving the view.

Managing a document

From the ⋮ menu on the right of each file, three actions are available:

  • Download — get a copy of the file on your computer.
  • Rename — change the document name without recreating it.
  • Delete — permanently remove the file from the project space.
