Deactivating or deleting a user

Suspend a user's access without losing their history, or remove them permanently.

1 min read updated October 2026

When a colleague leaves the team or the project, remove their access from the user list.

The user list

In the Admin Console, the Users page lists all the organisation's members with their status (active or deactivated). Each row has an action menu.

Deactivating or reactivating

Deactivating a user suspends their access to Gladys without erasing anything: their tasks, comments and time entries remain visible. You can reactivate them at any time from the same menu.

Deleting

Deleting permanently removes the user from the organisation.

Caution: prefer deactivation when someone leaves: it keeps the history and can be undone. Keep deletion for accounts created by mistake.

Frequently asked questions

What happens to a deactivated user's tasks?

They stay in the projects. Remember to reassign them so work can continue.

Does a deactivated user count towards the plan?

Contact your administrator or Gladys support for your plan's rules.
